Data & Infrastructure
Where is my business data hosted?
Your data is stored in a PostgreSQL database managed by Neon, running on US-based servers. Neon is a serverless Postgres platform built on AWS infrastructure in the US. Your client records, appointment history, and financial data never leave US servers.
How frequently is my data backed up?
Neon performs continuous WAL-based backups with point-in-time restore capability. This means your database can be restored to any point in time within the retention window — not just a daily snapshot. You don't need to take backups manually.
Can I export all my client and appointment data?
Yes. From your owner dashboard you can export your client records and booking history at any time. Your data belongs to you — Groomera does not lock you into a proprietary format. CSV export is available for client lists and appointment records.
Cancellation & Data Retention
What happens to my data if I cancel my Groomera subscription?
Your data is retained for 30 to 90 days after cancellation in case you return. After that window, data is permanently deleted in accordance with Groomera's data retention policy. You can request immediate deletion at any time by contacting support. We recommend exporting your data before you cancel.
Is there a contract or minimum commitment?
No. Groomera is month-to-month. You can cancel at any time from your account settings — no phone call required, no cancellation fee. The 14-day free trial also requires no credit card to start.
Payments & Money
What payment processor handles my money?
All payments — subscription billing, client bookings, and product orders — are processed through Stripe, one of the most widely used and audited payment processors in the world. Groomera uses Stripe Connect so your payouts go directly to your own Stripe account. Groomera never holds your revenue.
Who owns the customer payment data?
Stripe does — not Groomera. Card numbers, CVVs, and billing details are tokenized and stored by Stripe's PCI-compliant vault. Groomera only stores a Stripe payment intent ID and order metadata. Your customers' card details are never accessible to Groomera or to you.
Can I take deposits or require prepayment from specific clients?
Yes. You can mark any individual client as 'prepay only' from their profile in your dashboard. When that flag is on, the client will not see the 'Pay in Person' option at checkout — they must prepay to complete the booking. This is useful for clients with a history of no-shows.
Data Ownership & Privacy
Who owns the client data I collect through Groomera?
You do. Under Groomera's terms, you are the data controller and Groomera is the data processor. This means your client list, pet records, appointment history, and contact details are yours. Groomera does not sell, rent, or share your client data with third parties, other businesses on the platform, or advertising networks.
Can other businesses on Groomera see my client data?
No. Each business account is fully isolated. A client record stored under your business is not accessible to any other business on the platform, to Groomera's support team without a specific support request, or to any third party.
SMS, Phone & Communications
Does Groomera support US phone numbers and SMS reliably?
Yes. SMS reminders are powered by the Bandwidth API, a US-based carrier-grade messaging platform used by major US enterprises. Your clients receive SMS from a US number. Delivery rates for US numbers are high and the system is designed specifically for the US market.
What does the SMS reminder add-on actually cost?
SMS reminders are available as a per-specialist add-on at $5.99 per specialist per month, purchased through Stripe checkout. There are no per-message fees charged to you — the flat monthly rate covers the reminder volume for a normal grooming or barbershop schedule.
Is the AI receptionist compatible with US phone numbers?
Yes. Each business can create an AI voice assistant powered by Vapi and assign it a dedicated US phone number. The receptionist handles inbound calls, answers questions about hours and services, and can direct clients to the online booking page. All calls are logged with a transcript and recording in your dashboard.
Platform & Integration
Does Groomera support USD pricing and US tax configuration?
Yes. Groomera is built for the US market. All pricing is in USD. Services and products support per-state tax rate configuration, including tax-exempt and tax-included options. You can set a tax rate per service and per product.
Is there a public API I can use for integrations?
Groomera is built on Next.js with REST API route handlers. For custom integration needs, contact Groomera support to discuss what's available for your use case. The platform is actively developed and integration options are expanding.

Groomera is built specifically for US grooming and personal-care businesses. We do not charge per-booking commissions. Your client data is yours. Your revenue goes through your own Stripe account.
