Beyond appointments, your shop owner can assign tasks to you through Groomera's Task Assigner — things like cleaning routines, supply checks, client follow-ups, or any other shop operations that need tracking. This guide covers how to find your tasks, update their status, and use them to stay organized.
Where to Find Your Tasks
- Log in to your specialist portal
- Click My Tasks in your portal navigation
- You'll see all tasks currently assigned to you
Tasks are sorted by priority and due date by default — the most urgent items appear at the top.
Reading a Task
Each task shows:
Field | What It Tells You |
Task Title | A short description of what needs to be done |
Description | Full details and any specific instructions |
Priority | Low / Medium / High — how urgent the task is |
Due Date | When the task should be completed by |
Estimated Time | How long the owner expects the task to take |
Status | Current state: To Do / In Progress / Completed |

Updating a Task's Status
As you work through a task, keep the status updated. Your owner can see task progress from their dashboard — an updated status means they don't need to ask you directly.
Status options:
Status | When to Use It |
To Do | Default — task hasn't been started yet |
In Progress | You've started working on it |
Completed | The task is fully done |
To update a status:
- Open the task
- Click the status field or a status button
- Select the appropriate status
- Save
There's no confirmation step — the status updates immediately and your owner sees the change in real time from their dashboard.
Priority Levels — What They Mean in Practice
Your owner assigns a priority level to every task. Use this to decide what to tackle first when you have multiple tasks open:
High — Do this today, ideally before appointments or between them. These are time-sensitive or affect the safety and quality of the workday (e.g., equipment check before opening, cleaning protocol after a difficult appointment).
Medium — Complete within the current day or by the due date. Important but not immediately urgent (e.g., restock shampoo before it runs out, prep intake forms for tomorrow's new clients).
Low — Get to it when you have a gap. Not urgent, but still tracked (e.g., organize the retail display, update a client note, clean the grooming tools drawer).
When in doubt, ask your owner how they prioritize — some shops treat all tasks as equally urgent regardless of the label.
Logging Actual Time Spent
Some tasks include an Estimated Time set by the owner. You may be able to log the actual time you spent when marking a task complete.
If this field is available:
- Open the completed task
- Enter how long it actually took
- Save alongside the COMPLETED status
This information helps your owner understand whether time estimates are accurate and plan future task loads better. It's a small habit that improves how the whole shop operates.
What to Do If a Task Is Unclear
If a task description is vague or you're not sure what's being asked:
- Don't guess. A misunderstood task done wrong takes more time to undo than it would have taken to ask upfront.
- Ask your owner directly — mention the task name so they can pull it up and clarify.
- Add a note to the task (if a comments or notes field is available) flagging that you need clarification before proceeding.
The sooner you flag it, the sooner the task actually gets done correctly.
What to Do If a New Task Appears Mid-Day
Your owner can assign tasks at any time — including while you're in the middle of appointments. You won't receive a push notification, so it's worth glancing at your My Tasks view between appointments or during breaks.
If a new High priority task appears that conflicts with your current appointment schedule, let your owner know so they can adjust the expectation or reassign it.
Frequently Asked Questions
Q: Can I create tasks for myself? Currently, tasks are created by the shop owner and assigned to specialists. You can't self-assign tasks from your specialist portal. If you want to track something personally, use whatever note-taking method works for you outside the platform.
Q: Can I see tasks assigned to other specialists? No. You only see tasks assigned specifically to you. Other team members' tasks are not visible in your portal.
Q: A task shows as overdue but I completed it — what happened? You may have completed the work without updating the status in Groomera. Open the task and change the status to COMPLETED. The overdue indicator will clear once the status is updated.
Q: Can I decline or push back on a task? From a platform standpoint, tasks don't have a "decline" function. If a task isn't something you can complete — wrong timing, outside your role, missing supplies — speak with your owner directly. Don't just leave it sitting in To Do status without communicating.
